Events

  • Internal Events
    • Student spaces are reserved for student use between 8 a.m. and 3 p.m., Monday through Friday. If you're unsure if your event/activity can be held in the Connector, please email events@berkshirecc.edu and we will contact you to discuss.
    • If an external organization reaches out about renting space on campus, they should be instructed to visit this webpage and to send an email to events@berkshirecc.edu.
    • All internal space rental requests should be requested through or an email should be sent to the Administrative Assistant to the Director of Facilities.
    • Anyone requesting to use space on campus for an internal event must complete a Facilities Use Form at least two weeks prior to the event if any of the following are needed:
      • AV/technology requests
      • Room setups
      • Directional signs
    • Questions regarding AV/technology should be directed to IT - Media at least 48 hours before the event.
    • Questions regarding room setups should be directed to Facilities at least 48 hours before the event.
    • If food is being served, please see Event Food and Beverage section.
    • The room should be left in the same condition as it was at the start of your event.

  • External Events

    All external event requests are handled by the Assistant to the VP of Administration and Finance/Divisional Manager at events@berkshirecc.edu.

    • Classrooms may be rented, however, priority will be given to all academic classes or programming.
    • Liability Insurance – A Certificate of Insurance (COI) is required naming »Æ¹ÏÊÓƵ Community College as an additional insured. Required coverage is $1M per occurrence, $3M in the aggregate. The COI must be received at least 72 hours before the date of your event.
    • If the room you request is available on the specified date and time, you will receive a confirmation from the Assistant to the VP of Administration and Finance.
    • A $100 non-refundable deposit is due within ten business days of the confirmation. (Please note, if the deposit is not received within ten business days, the room will be released.)
    • Upon receipt of your $100 non-refundable deposit, you will receive a Rental Agreement, which must be signed and returned to the Assistant to the VP of Administration and Finance within ten business days.
    • Full payment and a final guest count must be received seven business days prior to your event.
    • If food is being served, please refer to the Event Food and Beverage section below.
    • The host of the event is responsible for accommodating sign language interpreting, access and food-related allergy requests.
    • »Æ¹ÏÊÓƵ will provide directional signs to the space being used and the related parking lot.
    • The host is responsible for any and all other signs needed.
    • All events are considered on a case-by-case basis. Depending on the date, time, activity and attendance, extra charges may be added at the discretion of »Æ¹ÏÊÓƵ.
    • The room should be left in the same condition as it was at the start of your event. If a mess is left behind, there will be an additional fee assessed. See the costs and fees section below.

Alcohol at Events

  • Requirements for Alcohol

    If you are requesting alcohol for an event, you:

    • Must complete an .
    • Must have a confirmation from the Assistant to the VP of Administration and Finance, Divisional Manager that space has been reserved, along with a $100 non-refundable deposit and a signed Rental Agreement.
    • Must be approved by the President or VP of Administration and Finance.
    • Must have alcohol provided by a licensed caterer or liquor store.
    • Must .
    • Are responsible for obtaining all of the above.

    Alcohol may be served at some third-party events being held on the college's premises. In order to serve alcohol on the college's premises, all parties must follow the process for scheduling such an event and comply with all event requirements, college policies and state law. Under no circumstances may alcohol be served at any student event sponsored by a student organization.

    Appropriate Purpose

    The purpose of the alcohol policy, as well as the planning and execution, is always the focus of the event. The provision of alcoholic beverages should be intended to merely complement the event. Admission to events with alcohol will be restricted to invited guests who are of legal drinking age. Any exception to the admission requirements must be approved not less than 30 days prior to the event by the President or VP of Administration and Finance/CFO or their designee.

    Alcohol Approval Process

    All events in which alcohol will be served will require a completed and approved Alcohol Request Form which will be approved or denied within ten business days of receipt, with a copy of the decision forwarded to both the event sponsor and the designated server company. Final approval for all events where alcohol is to be served rests with the President or VP of Administration and Finance/CFO or his/her designee.

    Caterers

    Food must be served at all events that serve alcohol.

    The event sponsor or their designee must be in attendance at all events where alcoholic beverages are available. If a designee is to be assigned, that information must be included on the above mentioned form.

    Designated Servers

    All events where alcohol will be served require the hiring of an alcohol licensed designated server. Vendors are appropriately insured and trained, including Serv-Safe and/or TIPS training, to provide this service and are responsible for understanding and maintaining compliance with all applicable Massachusetts State Laws and all licensure requirements for serving alcohol.

    Security

    »Æ¹ÏÊÓƵ Security, the MA State Police or the Pittsfield Police Departments are required at all events involving the sale and distribution of alcoholic beverages. The number of officers required will vary but will equal approximately one officer for every 100 participants. The number of officers must be determined in conjunction with the Events Coordinator and Director of Security prior to the event. The event sponsor shall cover the expense of Security or Law Enforcement personnel.

    Policy Violations

    Any College student or employee who violates this policy may be subject to disciplinary action, up to and including expulsion or termination. Any violations of this policy by college or non-college affiliated individuals may be referred to local law enforcement agencies.

    • City Fire, EMT and State Police details may be needed for certain events and all costs will be paid for by the Renter. Rates are to be determined.

    External Users: Alcohol License

    Cleaning Fee
    • Renter is expected to leave the space in the same condition as when they arrived. This includes but is not limited to making sure all trash is in the trash cans, all personal items are removed at the end of the event. If the Facilities Department is left with a mess to clean up, an invoice will be sent to the Renter.
    Paterson Field House and Other Large Events
    • Facilities:
    • For events with up to 500 attendees, a minimum of one (1) Facilities staff member is required at the event. The cost is $50/hour with a minimum of four (4) hours, per staff member

    • For events with 500+ attendees, a minimum of two (2) Facilities staff members are required at the event. The cost is $50/hour with a minimum of four (4) hours, per staff member.

    • Law Enforcement:
      • For events ut to 1,000 attendees, a minimum of two police officers are required at the event.
      • For events over 1,000 attendees a minimum of three police officers are required at the event.
      • The »Æ¹ÏÊÓƵ campus is state property so the MA State Police should be contacted whenever possible at 413-743-4700.
      • If the MA State Police are unable to provide officers, then the Pittsfield Police Department may be contacted at 413-448-9700.
      • If both police departments are unable to provide officers; the »Æ¹ÏÊÓƵ County Sheriff's Department may be contacted at 413-443-7220.
      • The cost for said law enforcement officers will be determined by the respective organization. 
    • Security:
      • Renter is responsible for all costs associated with having security at their event(s).
      • For events with up to 1000 attendees, a minimum of one (1) Security Officer is required at the event. The cost is $50 per hour with a minimum of four (4) hours for the Security Officer.
      • For events over 1000 + attendees, a minimum of one (2) Security Officers are required at the event. The cost is $50/hour per member with a minimum of four (4) hours for Security personnel.
